When new accounts are created, roles can be assigned to the new accounts. Roles can be configured so that specific aspects and automatic sharing of new data are automatically provided as part of that role.

- Authoring
- Content management

To Create a New Role
1. From the main drop down menu in the upper right select Configuration > Roles
2. Click on “New role”
3. Enter a name for the role in the field provided.
4. Under “Options” select the features that you would like the role to have access to in the system. (By default the role will have access to all features/areas except for “Product design area” and “Perform data extract from reports”)
5. Click on the “more” button to open up the additional options
6. Click on “Default Sharing”
7. Within “Default Sharing” select the group or organization that will have access to any newly created entries by any user with this role on their account.
8. Click on “Aspects”
9. Click on “Add aspect”
10. From the drop down menu select the aspect that is needed for the role and click “Save new entry”.
11. Repeat steps 9 – 10 as necessary for all aspects needed for the role.
12. Click on “Ownership and sharing”
When new objects are created the system will check the roles and assign organisation and grouping sharing details by default. Therefore, within this area select the Organization or Groups that can assign this role to users in the system and/or make changes to the settings on this role.
13. Finally, click on “Save” at the bottom of the screen to save the role.
To Add a Role to a User
View their record on the People page, by accessing the Usermenu dropdown, selecting Organization and People > People
Click Edit for the user
Scroll down, click on More
Expand Roles, Click on Add new role
Select the appropriate role from the drop down and click on Create new role record
Save the person record.
Just remember the user will also need to be in the Instructional design organization to see the items shared with it.
